How this website uses your information
How this East Cornwall Hunt Monitors preview handles contact forms, external links and technical information.
Your privacy
This website does not use analytics, advertising cookies or tracking pixels. It does not embed Facebook content. Clicking an external link takes you to a service with its own privacy rules.
Read our cookie notice for details of browser storage and hosting security.
Contact form
The contact form sends your name, email address, enquiry topic and message to hello@eastcornwallhuntmonitors.co.uk through Resend, our email delivery provider. Your email address is included so we can reply. Messages are kept in the group’s hosted email inbox, not in the website database. We do not add you to a mailing list.
Technical information
The server and hosting infrastructure may process technical request information such as IP addresses and access times to serve and secure the site. The website is hosted by Vercel. We use this hosting to deliver pages and protect the service, not to track visitors for advertising. No visitor analytics are enabled.
Member accounts and private records
East Cornwall Hunt Monitors manages the member area. We use your invited email address, display name and access role to run the group and control access. Supabase provides authentication and database storage; Resend delivers account invitations and password emails. Passwords are handled by Supabase Auth, not shown to group administrators.
Active members can see approved locations, sightings, vehicle registrations, vehicle descriptions, notes and the name of the member who added them. Editors can add records, edit locations and manage vehicle notes. Administrators manage accounts and review tips. These records are not available to public visitors or search engines. We record who makes changes so administrators can investigate errors.
Information sent through the tips form
The tips form stores your selected location, date, hunt name, notes and optional email address for administrator review. If approved, a checked version may be shared with members. Your email and the original submission remain in the administrator-only queue. You do not have to give an email address. Please avoid including personal details about other people or allegations about identifiable individuals.
We process relevant, non-sensitive information for our legitimate interests in organising wildlife monitoring, checking reports and keeping the service secure. We may pass relevant evidence to the police where there is a lawful basis to do so. This form is not an emergency service.
Maps and security
The public sighting form loads its map automatically; member maps load when requested. OpenStreetMap receives your IP address and requests for the map areas you view, but we do not send it our markers, notes or member details. Read the OpenStreetMap Foundation privacy policy. You can use coordinate fields and the records table without loading a map.
We use a keyed, hashed network identifier to limit repeated submissions and sign-in attempts. These counters expire and are removed during subsequent requests after 24 hours. Hosting and delivery providers may also retain security and delivery logs under their own policies.
Keeping and removing information
Administrators should review tip submissions at least every three months and remove reporter contact details once follow-up is complete. Member access is suspended when no longer needed. Administrators should also review vehicle records every three months and remove information that is no longer relevant. Archiving hides a record from the active list but does not delete it. Relevant location history may be kept for the group’s ongoing work, with personal information removed when it is no longer needed. Ask us if you want to access, correct or request removal of information about you, or object to its use. Some records may need to be retained for a legal reason.
You can contact the group at hello@eastcornwallhuntmonitors.co.uk. You also have the right to complain to the Information Commissioner’s Office.
